Board of Directors Meeting
July 28, 2003

In Attendance: Ann Barden, Corty and Cassie Cammann, David Coupland, Dottie Coyne, Jackie Deron, Martha Zingo
Guests: Lalita Doke, Pat Shalis, Lisa Zucker.

Sangha Sharing--Lisa reported on her ongoing office help to give Lalita support. Great appreciation from the Board for her time.

Minutes from May 10: approved, changing "could” to "should” page one.
Minutes from June 30: approved as written.

Calendar--4th Monday Board Meetings: August 25, September 29, October 27, November 24, January 26, February 23, March 22, April 26, May 24.

Sangha Picnic at Leslie Desmond's, Sunday, August 24th, 10-4 or time yet to be determined.

Open Discussion of Barbara's Role in Deep Spring: Sunday afternoon, October 5th, 1-3, at the center, possibly Cassie leading the worship sharing introduction, perhaps Anna Marie Henrich also facilitating.

Board Intensive: September 14, 9-5, at Cammanns. Sangha Development Group could come to the Board Retreat, 9-ll am, September 14, to discuss the Decision Making Document and we could incorporate their thoughts in our deliberations later in the day.

OMA Report -- the Advisory group met and Lalita says it's helping her.

Peace Vigil Request: The Peace Generator, Lynn Meadows, Craig Harvey. They want to use our Center Sept 20, 6pm to Sept 21, 6pm, 25-30 people come, they need ten chairs, a table for an alter, one person will be there all 24 hours. Would we charge or dana or free? Conflicts with our Sunday morning events. The Board decided "no.” (and this brings up again all the discussion about decision making). Our reasons against this request were two--the conflict with our Sunday morning program and we haven't developed a policy yet around donating our space. Let this group know that they could ask again in a year. Corty will call Lynn Meadows.

THE BUDGET:

Handout #1: a form to fill out--”Budget Update”. This became the work of the Board tonight to fill this form. Each Board member projected the forthcoming six months income and expenses in one or more of the various categories of the Budget. Strategies: Look at last year and make an adjustment. Or-- Make a plan for that activity or area and list out what will happen. This is more time consuming but probably more accurate.

Handout#2 and# 3: last six months of last year and first six months of this year. Look at the monthly expenses and make some adjustments.

Finally, David had with him a rundown of all the accounts in detail--30 pages. Chart of Accounts to be revised in 2004. There is a Uniform Chart of Accounts for Non-Profits. But we'll start budgeting for 2004 in October or November with the new Chart of Accounts. IRS requires that we report what we spent and why we spent it.

COMMITTEE REPORTS:

ARCHIVES---Martha Zingo, has a committee (Carol Blotter, Kate LeShock and Jane Grace Bowman) but has not met yet as a group. Martha has met with each of them. Barbara Brodsky will give Martha an idea of her vision. Charter to be done in September when the entire group meets.

BUILDING---Corty Cammann, two items: request from a 12 step group, an hour a week. They decided not to rent. Renting the two spaces is a question. $20 for the full facility. Policies are being modified. The usage of the two rooms is more interdependent than previously thought. Office needs a new color.

FUNDRAISING---Susan Weir's letter goes out in August with postcard for pledges. The online auction needs a coordinator.

NEWSLETTER---no report.

NOMINATING---We need another Board member, three actual. One place to be filled, Jane Grace goes in January and Dottie in April. We also need Nominating Committee people--one Board member and sangha members at large also. The Volunteer Coordinator could be on this committee. ACTION ITEM: Put it out to the sangha what we need: A volunteer coordinator, three board members and an auction coordinator. Cassie will get this announcement out.

PROGRAM---Classes planned for the fall are listed in the handout.

RETREAT---typed report.

SANGHA SERVICE---no report.
